Docunym 2.0 – System Enhancements

Graphical Workflow Dashboard

Upon login to the application the dashboard has been enhanced so that those users with access to one or more workflow queues will see a visual representation of the state of documents in queues. Standard users will see a listing of queues broken down by the age of items in those queues. Users with supervisor level rights will also see workflow item by user, queue, and workflow process broken down by age.

Custom Reporting Tool

A new custom reporting interface has been created in the system. This interface will provide users the same options available from the advanced search interface to report on a set of documents in the system. The user has the ability to save report criteria to be used again in the future similar to the feature to save advanced searches.

Add Notes to Documents

The system has been enhanced to allow users to add notes to documents in addition to existing index values. Notes are tagged with a date and time they were added as well as the user who added each note.

Common Indexes Across Document Types

All documents in the Docunym system are set with a specific document type and set of indexes. Previously the indexes on each document type were separate, even if sharing the same type of values such as an account number. The configuration of indexes has been enhanced so that indexes representing the same value across multiple document types such as account number are treated as a single index type.

Document Auto-Linking

The Docunym system allows for documents to be linked together to show their relationship. Previously users were required to manually identify and link related documents. The system has been enhanced to allow for documents to be automatically linked together based on matching index criteria. Documents will be evaluated and linked automatically as they enter the system or are updated and found to match to another document.

Enhance Workflow to Evaluate Linked Documents

The workflow engine has been enhanced to allow for decision logic to be executed based on the presence or absence of a linked document. For instance, at a decision point, an invoice document may be routed for payment if a linked purchase order is found or may be routed for additional approval if no linked purchase order is found.

Repeating Indexes/Sets of Data

The system has been enhanced to allow for identification of an index as a ‘set’ so that one or more of those index values may be added to a document.

Calculated Indexes

The system has been enhanced to allow for calculated indexes on a document. These indexes can be defined using arithmetic calculations on other index fields, combinations of text fields, or sums of amount in sets of data.

New Currency Data Type

The system has been enhanced to allow for a new index type of currency. Indexes defined as currency will allow for numeric input with currency qualifiers and will display values with currency formatting on the front end.

Multi-Select Interface on Lookup Indexes

Document indexes configured as lookups constrain the values of the field to a certain set. This interface has been enhanced to allow users to utilize a multi-select type interface.

Data Export from Workflow

The workflow engine has been enhanced to allow for index data to be exported as an action result. This will allow for configuration of an FTP server to connect to and will export index data for the given document in XML format.

Enhance Workflow to Allow for Direct Field Comparison

The workflow engine has been enhanced to allow for comparison between fields on a document to be used in decision logic. This will allow users to compare a calculated total field to be compared to a static total field to ensure all detailed items have been entered correctly before proceeding in a workflow.
